Center Hill Rental Agreement

Center Hill Chalets strives to provide you with an exceptional stay, free of hassles, and stress. Adhering to our policies will create a safe and fabulous vacationing experience.

Age Requirement

Center Hill Chalets customary policy is: No reservations will be made to students or anyone under the age of twenty-five (25). For Spring Break information and booking requirements, parents must always accompany their children under the age of twenty-five (25). Non-compliance of these rules and regulations will result in immediate eviction with no return of any funds paid. Reservations made under false pretense are null and void, and check-in will not be allowed. Please contact a representative with any questions regarding this policy. (615) 597-8488.

Rates

Rates are subject to change without notice unless confirmed.

Taxes and cleaning fees will be applied to every rental per unit and are based on each unit.

Deposits

Center Hill Chalets requires 1-night rental rate for your security deposit. This will be applied to your total. The remaining balance of your rental is due three (3) business days prior to your arrival. Security deposits are non-refundable.

Minimum Stay

There is a 2-night minimum stay except holidays (3-night minimum). Check in time is 2:00 pm.

Occupancy Limitations

Occupancy is limited to the number of people booked into the unit only. The unit is only booked to accommodate the number that it will hold according to sleeping arrangements. This includes adults and children. Occupancy will be enforced. Guests violating this policy will be asked to leave and will forfeit all remaining rent.

Administration Fee

A reservation administration fee of twenty-five (25) dollars will be added to each reservation for administration and processing of your reservation. This is non-refundable upon cancellation.

Reservations

Reservations can be made up to one (1) year in advance, however rates and properties are not guaranteed. Rates and properties are subject to change without notice.

Cancellation

All deposits are non-refundable. You are responsible for the cost of the entire booking if cancellation is made within 2 weeks of your arrival date. Center Hill Chalets does not issue any refunds for cancellations after that point. Travel insurance is recommended. 

Refunds

No refunds for any reason. This includes and is not limited to early departure, weather, unruly/disrespectful guests, and eviction. Neither the rental company nor the homeowner will be responsible for refunds. You are responsible for the entire booking once reservations are confirmed.

Check-In, Check-Out Time

Check-In is 3:00 P.M. or later. Due to our high standard of cleanliness, there is a possibility that your vacation rental may not be ready at 4:00 P.M. especially during peak seasons. Early check in is not permitted during peak season. Check-Out time is promptly at 11:00 A.M.  To avoid an extra cleaning charge; please wash the dishes, take out the trash, and leave the property in a neat and orderly condition.

Construction

Center Hill Chalets cannot predict construction plans in the area and therefore cannot be held responsible for any inconvenience. No refunds can be given in the event of nearby construction.

Housekeeping Fee

A housekeeping fee will be added to all reservations, regardless of the number of nights booked. The fee will vary depending on the size of the property. This fee covers the cleaning of the property upon departure.

Method of Payment

Payments are accepted in U.S. currency only. We accept MasterCard, Discover, and Visa. We do NOT accept AMEX. Reservations thirty (30) days or more in advance, a reservation deposit payment is required by credit card. Your final payment is due 72 (seventy-two) hours prior to arrival. Personal checks for final payments are accepted with a valid credit card on file and received at least 14 (fourteen) business days prior to check-in.  Reservations that are made less than 72 (seventy-two) hours prior to arrival, payment in full is required by credit card.

Stay Dates

All reservations are based on a 2 (two) night minimum stay. Note that advance weekly reservations typically rent Friday-Friday. Saturday-Saturday weekly rentals will be slightly higher. Please contact a Center Hill Chalets representative with your exact dates if you have any questions regarding this.

Neighborhood Rules/HOA

Most homes located in residential neighborhoods are controlled by a Homeowner Association. These associations have strict rules that must be respected i.e., limited parking, towels hanging from balconies, garbage retrieval, etc. Please contact a Center Hill Chalets representative to ensure compliance. Violations warrant a fine that the guest will be responsible for paying.

Noise Ordinance

Quiet time for all properties is 10:00 P.M. until 7:00 A.M., in conjunction with DeKalb county ordinances. Please be considerate of your neighbors. Radios, stereos, and all other musical or entertainment devices will be played in compliance with the decibel level. The decibel levels cannot exceed fifty (50) decibels between the hours of 10:00 P.M. and 7:00 A.M. outdoors. Music played inside may not be heard outside of the property with the doors and windows closed. At 10:00 P.M. all guests not staying at the property need to depart from the premises. Fireworks are not allowed at any Center Hill Chalet properties.

Owner's Closets and Garages

Most properties have interior locked closets that are off limits to guests. Garages are considered "owner storage" and are off limits to the guests as well. Violation of this policy will result in additional charges under the Property Damage agreement.

Smoke-Free Home Policy

All Center Hill Chalets are non-smoking residences. Smoking is not permitted inside any Center Hill Chalet.  If evidence is found of smoking inside a chalet guests will be charged a chalet recovery fee of a minimum $250.00 recovery fee to cover the extensive cost of restoring the chalet to a smoke-free condition. Upon arrival if guests notice any smoke smell of or evidence of smoking contact Center Hill Chalets office staff immediately. (615) 597-8488.

Pet-Friendly Properties

Center Hill Chalets has specific designated pet-friendly properties. We must be notified at the time of booking if you plan to bring a pet. We allow small, under 20-pounds and non-shedding breeds, as well as two (2) dogs per booking at pet-friendly properties. A non-refundable pet fee, per pet, will be added to your booking. Please contact our office for more information. Community Swimming Pools and Hot Tubs

Diving or jumping into the pool or hot tub may result in head, neck, or spinal injuries. As the renter, you accept the risk of the pool and hot tub policy. You specifically agree that no minor will swim in the pool or hot tub unaccompanied by an adult. Glass containers are not permitted in pool and hot tub areas. Pool hours are from 9am - dusk unless otherwise specified per neighborhood association. Tampering with pool equipment may result in injury and/or a fine. All pool equipment must be operated by a licensed professional. Community or condominium pools are not controlled or maintained by Center Hill Chalets therefore, Center Hill Chalets cannot be held responsible for inconveniences resulting from the pool. You are responsible for operating the hot tub in a careful and safe manner.  Always leave the bromine floater in the hot tub. Hot tubs are drained, cleaned, sanitized, and refilled prior to each guest stay. When the hot tub is not in use, keep it covered so that the hot tub will stay warm and debris free. Health risks associated with the use of hot tubs should be consulted with a physician; use with discretion and at your own risk. Please shower with soap and water before and after hot tub use. Center Hill Chalets and homeowners assume no responsibility for any injury, loss, property damage or other occurrence associated with or resulting from the use of the hot tub. Guests with heart disease, diabetes, high/low blood pressure, any serious illness, and/or pregnant women should not enter the hot tub without consulting a physician. Children under the age of 12 are prohibited from using the hot tub unless accompanied and supervised by their legal guardian. If any residue from items such as bath products, food, alcohol, etc. is found in the hot tub, rental guests will be charged a cleaning fee of up to $150.00. Do not sit, stand, or lie down on the hot tub cover. Damage to the cover will result in a replacement fee of up to $500.00.

Fireplaces
Fireplaces that are electric are useable year-round but should not be used in tandem with air conditioning. Gas fireplaces are seasonal and not in operation from April through September. All fireplaces are a use at your own risk. Center Hill Chalets and homeowners shall not be responsible for any injury, loss, property damage, or other occurrence associated with or resulting from the use of a fireplace. 

Property Damage

All existing damages to the property upon arrival are to be reported to Center Hill Chalets. An active credit card is required to maintain the reservation and the integrity of the unit. By signing this agreement, you waive your right to dispute any charges that are made to your credit card regarding this policy. Non-billing stipulations include:

• No damage to the property or theft.

• No violations of rental or association policies.

• Rental is left in a neat and orderly condition.

• All garbage is removed from the house, decks, yards, and pool areas.

Center Hill Chalets will do everything within its means to notify you of impending charges; however, Center Hill Chalets reserves the right to bill your credit card for violations to the policy.

Signature Form

At the time of reservation, a confirmation will be sent via email. The second page is the "Signature Form", please sign and fax/e-mail back within seven (7) days of the booking date. In the event the form is not received, your reservation will be canceled, and the deposit will be returned less a nominal processing fee.

Special Events

Weddings and special events are not permitted at ANY of our properties; however please contact a Center Hill Chalets representative for available information of facilities that do accommodate weddings and receptions. Please note some events require permits and/or approval from the neighborhood association. It is the responsibility of the guests to contact the corresponding representatives to ensure compliance.

Taxes

Tennessee State sales tax is nine point seven five percent (9.75%). DeKalb county Hotel/Motel tax is five percent (5%). Guests are responsible for paying all applicable taxes in full prior to checking in. Taxes will be disbursed to the governing authority upon check-out and are subject to change without notice.

Trailers and RVs

Trailers and RVs are not permitted at ANY of our properties due to homeowner associations and size. Guest vehicles, trailers, and RVs are not authorized to park at Center Hill Chalet offices.

Check-In Instructions

Check-In instructions vary by property. Upon receipt of your final payment, three (3) business days prior to your arrival date, we will email you the check-in instructions along with directions and keyless entry code (if applicable) specific to the property you have rented. Check-in instructions are not available in the mobile app and will come via email.

 

*IMPORTANT* IN THE EVENT OF APPLIANCE FAILURE, CABLE, CENTRAL HEAT/AIR, OR HOT TUB FAILURE, WE WILL MAKE EVERY EFFORT TO CORRECT THE MALFUNCTION AS SOON AS POSSIBLE. NEITHER THE RENTAL COMPANY NOR THE OWNERS WILL BE RESPONSIBLE FOR REFUNDS. YOU ARE RESPONSIBLE FOR THE ENTIRE BOOKING ONCE RESERVATIONS ARE CONFIRMED. NO REFUNDS FOR EARLY DEPARTURE- NO REFUNDS FOR ANY REASON. THIS INCLUDES WEATHER. ANY GUESTS THAT ARE UNRULY OR DISRESPECTFUL WILL BE ASKED TO VACATE PREMISES. GUESTS THAT ARE ASKED TO VACATE PREMISES WILL NOT BE GIVEN ANY REFUND.
